We are seeking a customer service focused, experienced receptionist with a friendly, pleasant personality and a professional image.

Key Responsibilities

• Managing a multi-line switchboard, in a busy, dynamic environment, including responsibility for answering multiple phone lines, transferring phone calls
•Answer and screen telephone calls, handling inquires or directing caller to the appropriate information source
•Greeting clients and staff in a proactive and professional manner
•Coordinating, shipping, receiving and distribution of deliveries, including courier and mail
•Maintaining reception area environment.
•Prepare and process paperwork for overhead office invoice payment
•General reception duties; mailing, filing, photocopying and email
•Undertaking various administrative tasks:  ordering of office supplies; coordinating office equipment and in-house maintenance repairs;
•Assist office staff with special projects; Handle routine, more complex inquiries and information requests
•Other duties to include, report and proposal printing, copying, collating, binding
•Liaise with other offices as required
•Other tasks as appropriate for this position

Qualifications

•3-5 years’ experience in a similar role general office or receptionist experience in working in a fast-paced, multitasking environment
•Excellent phone answering skills and friendly customer service skills
•Advanced knowledge of MS Office Suite
•Excellent verbal, written and interpersonal communications skills
•Extremely organized, and detail oriented
•Thrives in a dynamic, fast paced, high-pressure environment
•Must be professional, dependable, personable and flexible
•High School Diploma or equivalent
•Self-starter with excellent organizational skills and attention to detail
•Ability to handle confidential and sensitive information in an appropriate manner
•Previous experience working at an engineering, construction or architectural firm a plus
